Epsilon Systems Benefits

Epsilon Systems provides a comprehensive benefits program to meet the needs of its employees. This package includes medical, dental and vision plans to maintain health. Life insurance and disability insurance is provided to protect income. Employees may also purchase additional life insurance for themselves, their spouse, and their dependents. Epsilon Systems also helps you save for your retirement with a 401K/ESOP retirement savings plan.

All of our benefits are managed through Paylocity Web Benefits. Company ID numbers are 35221 for Epsilon Systems, and 35222 for Epsilon C5I. Paylocity Web Benefits can be used to enroll in plans during open enrollment periods (typically in November) or when you are a new employee. Paylocity Web Benefits also provides links to provider information so you can learn about your coverage.

Your username and password is the same information you use to log into Paylocity.

For Epsilon Systems:

Epsilon Systems Solutions provides eligible employees a 401K Retirement Savings Plan. You can contribute up to 100% of your salary into your 401K account (not to exceed $19,000, and if you are over 50, not to exceed $25,000). Epsilon Systems provides a match to your deferral into your 401K account.

Epsilon Systems provides an employee stock ownership plan (ESOP) for the benefit of its employees. The ESOP is a type of qualified retirement plan that gives eligible employees ownership interest in the company. Epsilon Systems provides an Employee Assistance Program (EAP) that provides free, confidential assistance for life issues we all face from time to time. HR Frequently Asked Questions (FAQ)

When can I make changes/cancel/enroll in medical, dental, vision, etc. benefits?

You may enroll in benefits during your initial eligibility period or during the annual open enrollment, typically in November. Once your initial new hire enrollment period has passed, you may only enroll, make changes or cancel your benefits if you experience a qualifying event. Some examples of qualifying events are change in marital status or birth of a child.

How can I get information about our insurance providers?

How do I access the company’s Employee Assistance Program (EAP)?

You can access the EAP through the Guidance Resources website (www.guidanceresources.com) or by calling 1-877-595-5281.

Am I able to take a loan from my 401K?

Yes, you may take a loan from your 401K, provided you meet the eligibility and balance provisions.

  • Epsilon Systems: Loans can be requested via the Principal website (principal.com) or by calling 1-800-547-7754 and using our account number 437999.
  • Epsilon C5I: Loans can be requested via the American Funds website (americanfunds.com) or by calling 1-800-204-3731.

When can I enroll or make a change to my 401K contribution?

New enrollments outside of your new hire period can be made on a quarterly basis. Changes to your contribution can also be made on a quarterly basis by submitting a Contribution Change Form to HR. Cancellations may be made at any time by submitting a Contribution Change Form.

How can I make changes to my investment options?

Changes to investment options may be made on the Principal website at www.principal.com.

Where can I get advice on retirement planning?

The company offers free retirement planning through UBS. You can take advantage of this program by calling Darin Beeghley (619-557-2445) or Douglas Kincart (619-557-2443).

How can I view my ESOP statement?

You can view your ESOP statement by logging into the ESOP Connection (https://www.esopconnection.com/epsisyst/). Statements are released annually by the fourth quarter.

How can I update my address or phone number?

You can update your address or phone number by logging into Paylocity (www.paylocity.com). Company ID numbers are 35221 for Epsilon Systems, and 35222 for Epsilon C5I.

How can I update my direct deposit?

The easiest way to update your direct deposit information is to log in to Paylocity at www.paylocity.com (not the app, but rather the website) and go under “Pay” then click on “More…”, then click on “Direct Deposit Accounts.” To add an additional account, check the box next to “Additional Deposit Account” and enter the account and routing numbers. Select the “Amount Type” and amount you would like deposited to that account. If you would like to replace your direct deposit information with a new account number, go to the drop-down box under “Add or Edit Account” and select the account you would like to edit. Click on delete to delete that account information and then follow the instructions described above to add the new account information.

How can I change my taxes?

The easiest way to update your tax forms is to log in to Paylocity at www.paylocity.com (not the app, but rather the website) and go under “Pay” then click on “More…”, then click on “Tax Exemptions” and click on “FITW- Federal Income Tax” to change your Federal withholdings or click on “CA- California SITW” to change your State Withholdings

How can I view my paystubs?

You can view your paycheck stubs on the Paylocity app or website (www.paylocity.com). To view them in the app, log in and click on “Pay.” This will show your most recent paycheck. To view past paycheck stubs, click on “History” and this will show each paystub. You may also view and print your paystubs on the Paylocity website. Under Pay click on “View Checks” or click on the date for your most recent paychecks.

How can I view my W-2s?

You can view or get a copy of your W-2 on the Paylocity app or website (www.paylocity.com). To view it in the app, log in and click on “Pay.” Click on “Tax Forms” on the bottom right. Choose the year you wish to view and click on it. If you would like to email a copy of the W-2 to yourself, click on the “envelope” icon on the top right and create a password to open the document once it is emailed to you. Verify the email address is the correct one and click “Send.” You can now retrieve the W-2 document from your email.

You may also view, save, or print a copy of your W-2 on the Paylocity website. To do so, log in to the website, under “Pay” then click on “More…,” then click on “Tax Forms,” and click on the year you wish to view. If you would like to save or print a copy of your W-2, click on “Download W-2” and create a password and click on “View PDF.” From here you can print or save a copy of your W-2.

How do I reset my Paylocity password?

Go to the Paylocity website (www.paylocity.com) and click on “Forgot” in the password field. Enter the Company ID (35221 for ESS or 35222 for Epsilon C5I), enter your Username, then enter your e-mail or phone number to receive a one-time passcode. If using your e-mail or phone number does not work, please contact your HR Generalist.

Where can I view my PTO or sick leave balance?

You can view your PTO balances on Deltek Time & Expense by clicking on “Leave” along the top bar. Use this option to view all PTO balances and detail PTO transactions. There may be a delay in posting the most recent leave accrual.

How can I request PTO?

There are two methods to request PTO: the PTO Request Form or Deltek Leave Request. Please check with your manager on which method is used in the group you are working in.

I need to take a leave of absence. What is the process to request leave?

There are multiple reasons an employee may request leave. In order to best advise you on your specific circumstance, contact your HR Generalist for more details.

A relative recently passed away. What is the process to request bereavement leave?

Immediate family members are defined as spouse, children, parents, brothers and/or sisters, grandparents, grandchildren, parents-in-law, and brother/sister-in-laws. You may request the leave by completing the Bereavement Leave Request Form and returning it to your manager.

I received a jury duty summons. What is the process for notifying my supervisor?

As soon as you receive the summons, notify your supervisor of the date summoned. When you have completed jury duty, submit a copy of the jury duty timecard to your supervisor to confirm you attended.
